Full‑Time Construction Bookkeeper – Job Description

Position Summary
We are seeking a detail‑oriented and highly organized Construction Bookkeeper with strong experience in QuickBooks Desktop (assessment required). This role manages the financial operations of a construction firm with an emphasis on job costing, ensuring accurate tracking of project‑specific labor, materials, equipment, and subcontractor expenses. The ideal candidate understands the unique accounting needs of the construction industry and can support both day‑to‑day bookkeeping and high‑level project financial analysis.
Key Responsibilities
Job Costing & Construction Accounting
Track project‑specific costs including labor, materials, subcontractors, equipment rentals, and change orders.
Maintain and update job cost reports to ensure real‑time visibility into project profitability.
Support project managers with financial analysis, budget tracking, and cost‑to‑complete estimates.
Allocate expenses to the correct projects, cost codes, and phases.
Accounts Payable (AP)
Process vendor invoices and subcontractor bills, ensuring proper coding and job assignment.
Reconcile statements, resolve discrepancies, and maintain strong vendor relationships.
Handle lien waivers, W‑9s, and subcontractor compliance documents.
Accounts Receivable (AR)
Create and send customer invoices, progress billings, and retainage requests.
Track payments, apply deposits, and follow up on overdue accounts.
Manage change orders and ensure proper documentation for billing.
Payroll & Labor Tracking
Process weekly or bi‑weekly payroll for employees with variable hours, job transfers, and different pay rates.
Enter labor costs into job costing modules for accurate reporting.
Manage certified payroll reports (if required), timesheet collection, and compliance documentation.
Reconciliations & Month‑End Close
Perform bank and credit card reconciliations.
Reconcile accounts, review general ledger entries, and prepare adjusting entries as needed.
Assist with month‑end and year‑end closing activities.
Financial Reporting & Forecasting
Generate detailed financial reports including:
Job cost reports
Budget vs. actual reports
Profit/loss statements
Cash flow forecasts
Provide financial data and insights to executives and project managers to support decision‑making.
Compliance & Administrative Duties
Maintain financial records in adherence with construction industry regulations and GAAP standards.
Assist with audits, insurance renewals, and bonding requirements.
Support document control for contracts, purchase orders, and subcontractor agreements.
Required Skills & Qualifications
Experience with QuickBooks Desktop is mandatory (candidate must pass a skills assessment).
Minimum 2–3 years of bookkeeping experience in construction accounting or job‑costing environments.
Strong understanding of AP/AR, payroll, job costing, and project financial tracking.
Proficiency in Microsoft Excel and financial reporting tools.
Familiarity with construction documents: invoices, change orders, lien waivers, pay apps, etc.
Strong attention to detail, accuracy, and problem‑solving abilities.
Ability to prioritize and manage multiple deadlines in a fast‑paced construction setting.
Preferred Qualifications
Knowledge of certified payroll or prevailing wage requirements.
Experience supporting project managers and executives with financial insights.
Familiarity with QuickBooks Desktop
